Based in their Martin Place office, this is an exciting opportunity to gain broad experience across business services, including front-of-house duties, facilities management, internal events, and operations.

The role
You will work closely with the Office Manager and Operations Director to help foster a thriving and positive work environment.

This is an on-site role that requires you to be in their CBD office (minimum 5 hours in the office per day, 4 days per week). Option for the role to be 4 days/week.

You own the office space

  • Oversee the smooth running of the office environment including making sure common areas, kitchen, and meeting rooms are clean and tidy throughout the day.
  • Manage office supplies inventory and place orders as necessary.
  • Greet visitors and answer and direct phone calls and monitor the contact email inbox.
  • Manage liaison with landlord and building maintenance contractors.
  • Receive and sort incoming mail and deliveries and manage outgoing mail.

Team administrative support

  • Coordinate internal staff events and ‘All Staff’ meetings.
  • Manage gift purchasing for staff.
  • Be the main point of contact for travel bookings.
  • Manage event planning for parties and social events, including, once or twice a month, events outside of normal business hours and on weekends.
  • Arranging catering, AV, and IT setup for internal events from time to time.
  • Coordinate company merchandise for internal staff and clients.
  • Provide other administrative support as necessary, including maintaining group calendars, doing research (i.e. Google search), formatting documents, creating reports

What you can bring:

  • Strong interpersonal skills with a dynamic, vibrant, and collaborative style and the ability to manage multiple stakeholders.
  • Excellent written and verbal communication skills.
  • Experienced and proficient in Office suite apps (0365 a plus).
  • Experience working in a fast-paced environment is desirable – within an office environment, even better.
  • A can-do attitude and passion to drive company culture.
  • Highly organised with strong time management and prioritisation skills.
